How to Embed Fonts in PowerPoint (So It Looks Right on Any Computer)
You built the deck in a lovely font. On the venue's laptop it opens in Arial, the titles wrap onto two lines and the layout is a mess. The cause: that computer doesn't have your font. The fix takes one tick box.

1. Embed the fonts

1. File → Options.
2. Click Save on the left.
3. Under Preserve fidelity when sharing this presentation, tick Embed fonts in the file.
4. Choose one of:
• Embed only the characters used in the presentation — smaller file. Fine if nobody else will edit it.
• Embed all characters — bigger file, but other people can edit the text and still use the font.
5. Click OK and save.
The setting is per file, so do it for each presentation that uses special fonts.

2. On a Mac

PowerPoint → Preferences → Save → Embed fonts in the file. Mac and Windows embedding now work with each other in current versions of Microsoft 365, but test on the other platform if you can.

3. Check what's in the file

File → Info shows a note if the file contains embedded fonts. To see which fonts the presentation uses at all, use Home → Replace ▾ → Replace Fonts — the drop-down lists every font in the deck.

4. The alternative: use a safe font

If embedding isn't possible, swap to a font every computer has. Home → Replace ▾ → Replace Fonts, choose the special font and replace it with Calibri, Arial or Segoe UI. Better still, change the theme fonts under Design → Variants ▾ → Fonts so every slide updates and new text follows suit.

5. The bulletproof alternative: PDF

If the presentation is being sent to be viewed rather than presented, save as PDF. Fonts are always included.

Troubleshooting

"Some fonts cannot be saved with the presentation." The font's licence doesn't allow embedding. Replace it with another font, or convert that text to a picture (Copy → Paste Special → Picture).
The embedded font looks wrong on the other computer. You chose only the characters used and someone has edited the text, or the receiving PowerPoint is an old version. Use Embed all characters.
The file got much bigger. That's the font files. Only the characters used keeps it smaller, or embed just before you send and keep an un-embedded working copy.

Wrapping up

File → Options → Save → Embed fonts in the file, then save. Your presentation looks the same wherever it opens. For anything you're not presenting yourself, a PDF is the no-surprises option.
