How to Use Sections in PowerPoint (Organise a Long Presentation)

Once a deck passes 20 slides, the thumbnail pane becomes a long scroll of lookalikes. Sections split it into named chapters you can collapse, reorder and print separately. They cost nothing to add and make big presentations far easier to manage.
Quick reference
| What you want | How |
|---|---|
| Add a section | Right-click between slides → Add Section |
| Rename it | Right-click the section name → Rename Section |
| Collapse / expand | Click the triangle next to the name |
| Move a whole section | Drag the section name, or right-click → Move Section Up / Down |
| Remove it | Right-click → Remove Section (the slides stay) |
1. Add a section
1. In the thumbnail pane, click the first slide of the new chapter.
2. Right-click → Add Section (or Home → Section → Add Section).
3. Type a name and click Rename.
2. Right-click → Add Section (or Home → Section → Add Section).
3. Type a name and click Rename.
Everything from that slide to the next section heading is now in the section. Slides before your first section go into one called Default Section — rename it too.
2. Collapse and expand
Click the little triangle next to a section name to collapse it. Collapse everything with right-click → Collapse All and the pane becomes a clean table of contents. Expand the one you're working on.
3. Move a whole chapter
Drag a collapsed section's name up or down the pane, or right-click → Move Section Up / Down. All its slides go with it. This is the easiest way to restructure a presentation.
4. Sections in Slide Sorter view
View → Slide Sorter shows the sections as rows of thumbnails with their names. It's the best view for seeing the overall shape of a deck and dragging slides between sections.
5. Print one section
File → Print, click the Print All Slides drop-down, and choose a section from the list under Sections.
6. Jump to a section while presenting
During the show, right-click → See All Slides. The slides are grouped by section, so you can jump straight to the chapter someone's asked about.
7. Remove sections
Right-click a section → Remove Section keeps the slides and just takes away the heading. Remove Section & Slides deletes both — careful. Remove All Sections clears every heading at once.
Troubleshooting
Add Section is greyed out. You're in Outline view or Slide Master view. Switch to View → Normal.
My section name is "Untitled Section". You closed the rename box without typing. Right-click → Rename Section.
Sections disappeared when I saved. You saved as a .ppt (the old 97–2003 format), which doesn't support them. Save as .pptx.
Wrapping up
Right-click → Add Section, name it, collapse the ones you're not working on. Long decks become a short list of chapters you can move about with a drag.
