How to recall and email in Outlook

We’ve all done it: sent an email to the wrong person, forgotten the attachment, or hit Send a little too quickly. Outlook has a Recall feature that can pull a message back — but it only works in certain situations, so it’s worth knowing the limits before you rely on it.

When recall works (and when it doesn’t)

Recall can work when:

  • You’re using a work or school Microsoft 365 / Exchange account, and
  • The person you sent it to is in the same organisation (for example, a colleague).

Recall won’t work when:

  • You sent it to a Gmail, Yahoo, iCloud or any outside address.
  • You’re using a personal Outlook.com or Hotmail account.

For those, the email has already left — skip to the Undo Send section below to protect yourself next time.

Recall an email in new Outlook or Outlook on the web

  1. Go to your Sent Items folder.
  2. Double-click the message to open it in its own window.
  3. Click ⋯ (More options) at the top of the message.
  4. Choose Recall message.
  5. Click OK to confirm.

Recall an email in classic Outlook for Windows

  1. Go to Sent Items.
  2. Double-click the message to open it in a separate window. (Recall isn’t available from the Reading Pane.)
  3. On the Message tab, click ⋯ More commands or Actions, then Recall This Message…
  4. Choose one of: – Delete unread copies of this message — tries to remove it. – Delete unread copies and replace with a new message — lets you send a corrected version.
  5. Click OK.

If you chose to replace it, a copy of your original opens. Make your changes and click Send.

Did it work?

Outlook sends you a recall report by email. Open it to see, for each recipient, whether the message was successfully recalled.

With the newer recall system in Microsoft 365, messages can usually be removed even if the recipient has already opened them — but people may still have seen it or had it on their phone. Treat recall as damage limitation, not a guarantee.

Set up Undo Send (the better option)

Undo Send holds your email for a few seconds after you click Send, so you can cancel it. It works for any recipient, including Gmail.

New Outlook and Outlook on the web:

  1. Click Settings (the cog icon, top right).
  2. Go to Mail > Compose and reply.
  3. Scroll to Undo send and drag the slider up to 10 seconds.
  4. Click Save.

After you send, an Undo button appears at the bottom of the screen for the time you chose.

Classic Outlook: delay every email with a rule

Classic Outlook doesn’t have Undo Send, but you can create a rule that waits before sending:

  1. Go to File > Manage Rules & Alerts > New Rule.
  2. Under Start from a blank rule, choose Apply rule on messages I send, then Next.
  3. Leave the conditions empty and click Next (click Yes to apply to every message).
  4. Tick defer delivery by a number of minutes, click a number of and enter 1 or 2.
  5. Click Finish.

Your emails now wait in the Outbox for a minute or two. If you spot a mistake, open the Outbox and delete or edit the message before it goes.

Tip: Outlook needs to stay open for delayed messages to send.

Wrapping up

Recall can save you with colleagues on the same Microsoft 365 system, but it’s no help with outside addresses. Take 30 seconds now to switch on Undo Send (or a delay rule in classic Outlook) — it’s the real safety net.
