Printers have a well-earned reputation for being difficult. “Printer offline,” stuck print jobs and devices that vanish from your network are everyday frustrations. The good news: most printer problems come from a small number of fixable causes.
Start with the basics
It’s tempting to skip these, but they solve a surprising number of problems:
- Is the printer turned on and showing no error lights or messages?
- Does it have paper and ink/toner, with no paper jam?
- For wireless printers, is it connected to the same Wi-Fi network as your computer? Many printers can print a network status page from their control panel.
Fix 1: Restart everything, in order
Turn off the printer, your computer and your router. Turn on the router first, wait for it to fully connect, then the printer, then the computer. This resolves many “offline” problems caused by devices losing track of each other.
Fix 2: Clear stuck print jobs
A single stuck document can block everything behind it.
- Windows: Settings → Bluetooth & devices → Printers & scanners → select your printer → Open print queue, and cancel all jobs.
- If jobs won’t cancel, press Win + R, type
services.msc, find Print Spooler, and click Restart. - Mac: Open the printer’s queue from System Settings → Printers & Scanners and delete the jobs.
Fix 3: Remove and re-add the printer
Old or duplicate printer entries confuse your computer.
- Windows: Settings → Bluetooth & devices → Printers & scanners → select the printer → Remove, then Add device.
- Mac: System Settings → Printers & Scanners → select the printer → Remove Printer (–), then add it again.
Check you haven’t got two copies of the same printer (such as “Printer” and “Printer (Copy 1)”). Delete the extras.
Fix 4: Give the printer a fixed address
Wireless printers often go “offline” because the router assigns them a new network address. In your router’s settings, set up an address reservation (sometimes called a DHCP reservation or static IP) for the printer so its address never changes.
Fix 5: Install the right driver or app
Windows and macOS can print to most printers without extra software. But if features are missing or printing fails, download the official driver or app from the manufacturer’s website, never from a third-party download site.
Fix 6: Run the troubleshooter or reset the printing system
- Windows: Settings → System → Troubleshoot → Other troubleshooters → Printer (on newer versions this opens the Get Help app).
- Mac: In Printers & Scanners, right-click (or Control-click) the printer list and choose Reset printing system. This removes all printers, so you’ll need to add them again.
Fix 7: Try a USB cable
If wireless printing keeps failing, connecting via USB is a quick test. If USB works, the problem is the network, not the printer.
Connecting other devices
The same approach applies to scanners, external drives and smart devices: confirm power and connection, restart, remove and re-add, update drivers, and check that everything is on the same network.
The bottom line
Most printer problems are communication breakdowns, not broken hardware. Clear the queue, restart in order, remove and re-add the printer, and give it a fixed network address, and it will usually behave.
